Swim Meet Reminders: Entry Fees, Refund Policy & Finals Attendance

Swim Meet Refund Policy Reminder
As we continue through the swim season, we would like to remind all families of the club’s policy regarding swim meet entry fees.
Once the declaration deadline for a meet has passed, the club is required to submit entry fees for all declared swimmers to Swim Nova Scotia. At that point, these fees are charged to the club and are non-refundable, including in cases where a swimmer is unable to attend due to illness or other unforeseen circumstances.
As a result, the club is not able to issue refunds for missed meets after the declaration deadline. This is in accordance with our Policies and Procedures Manual (Section 5.1.4).
We understand that situations such as illness can arise unexpectedly and appreciate your understanding and cooperation.

Finals Attendance & Scratch Policy
When swimmers compete in preliminary sessions at a meet, they may qualify for finals later in the day. If a swimmer qualifies but is unable to attend finals, it is important that they are scratched from the event before the scratch deadline.
Please note that scratch deadlines are typically before the end of the preliminary session, so timely communication is essential.
Swim Nova Scotia charges the club a $20 fee for any swimmer who qualifies for finals and does not attend without being properly scratched. In accordance with the club’s Policies & Procedures (Section 5.1.5), this cost is passed along to the swimmer.
If your swimmer qualifies for finals but will not be attending, please notify a coach as soon as possible so the scratch can be submitted on time. If no notification is received and the swimmer does not attend, a $20 charge will be applied to your account.
